Ordering Official Transcripts Online

Santa Rosa Junior College works with the National Student Clearinghouse for official SRJC transcript orders.

Official SRJC transcript requests are typically processed within 3-5 business days.

If you need a CSU-GE/IGETC certification with your transcript, please see below.

 

Transcript Ordering Information

  • CSU-GE or IGETC Certification Request Form

    A completed CSU-GE IGETC Certification Request Form must be uploaded as an attachment when ordering Official Transcripts online.

    Download Form

    •    A CSU-GE or IGETC Certification is done when you request your final transcript be sent to the CSU-UC school to which you are transferring.
    •    Final grades for CSU-GE or IGETC courses must be posted to the academic record before certification can be done.
    •    If you are a high school student or if you have a Bachelor’s Degree or higher, you do not need this certification.

    See above instructions for Ordering Transcripts Online then follow these steps:
    1.    In the Upload Attachment section, click on Add File +
    2.    Upload your completed CSU-GE IGETC Certification Request Form
    3.    Allow up to 5 working days for this form to be processed

    To review your General Education status:
    1.    Sign in to the SRJC Portal
    2.    Click on My Records
    3.    Choose Progress to Completion under Graduation
    4.    Choose General Education Certificate Audit
    5.    GE audit may not include all transfer courses

    Santa Rosa Junior College waives the Transcript Fee of $5.00 for official transcripts for the first two ever ordered (Processing and Delivery fees of $3.90-$5.25 will apply). See pricing below:

    Payment Methods

    You must have one of the following credit/debit cards available to pay for your order:

    Credit Card Logos

    -- AND --

    You must have a valid EMAIL address so that we can communicate with you about the status of your order.

    For credit card orders, we do not actually charge your credit card at the time you place your order. Instead, we validate your card information and "pre-authorize" the amount that will eventually be charged to your card when your order is completed. If your order is cancelled before it is completed, there will not be any charge to your credit card.

  • Electronic, Mail, or Pick-Up Delivery Options

     

    Because of current delays in US Mail delivery, we recommend choosing Electronic Delivery for all transcripts. Electronic Delivery provides updates notifying you of the status of your order.

    If you are sending your transcript to a:

    • California Community
    • College California State University (CSU)
    • University of California (UC)

    We recommend that you choose the Electronic Delivery Option. You will need to check with your individual school to find out their policies for receiving Incoming Electronic Transcripts and it will be your responsibility to obtain any email addresses.

    International transcript requests must be sent electronically.

    If you need a paper copy and you cannot wait for one to be delivered in the mail, please choose our Pick-Up option. You, or someone you designate, can pick your order up at our Santa Rosa or Petaluma Campuses.

    Orders received by 12 pm will be available by 12 pm the following business day, Monday through Thursday. Orders placed for the Pick-Up option is subject to an additional $5.00 rush fee.

    The Pick-Up Option is not available on Fridays in June and July, as well as during End of Semester processing. Be sure to read the notices on the ordering page for any updates.

  • Pick-Up Option

    If you need a paper copy and you cannot wait for one to be delivered in the mail, please choose our Pick-Up option. You, or someone you designate, can pick your order up at our Santa Rosa or Petaluma Campuses.

    Orders received by 12 pm will be available by 12 pm the following business day, Monday through Thursday.

    Orders placed for the Pick-Up option will include an additional $5.00 rush fee ($12.90 total).

    The Pick-Up Option is NOT available for orders requiring CSU-GE/IGETC certification.

    The Pick-Up Option is NOT available during End of Semester processing. Be sure to read the notices on the ordering page for any updates.

    If you would like to designate someone to pick up your transcript for you, you MUST complete the Official Transcript Pick-Up Release Authorization Form to release your transcript.

    Photo ID is required to pick up transcripts.

  • The Common Application & College Reports (Transfer to Private Colleges/Universities)

    Transcript Matching Form Instructions

    1. Request an Official Transcript to be sent to the College/University.
    2. In the Upload Attachment section, click on Add File +
    3. Upload your completed Transcript Matching Form.


    Transfer College Report Instructions

    You must complete the top portion of the College Report prior to sending it to us. Any Report sent to us without the top portion completed will be returned.

    With Official Transcript

    1. Request an Official Transcript to be sent to the College/University.
    2. In the Upload Attachment section, click on Add File +
    3. Upload your completed College Report Form.
    4. Allow up to 5 working days for this form to be processed.

     

    Without Official Transcript

    1. Email the forms with the student portion completed to Megan Williams for processing.
    2. Please include your Student Identification Number.
    3. Include a list of all the Colleges & their mailing addresses or email addresses where you would like the report sent.
    4. Allow up to 5 working days for this form to be processed.

  • Other Attachments

    Only documents pertaining to your official SRJC record can be sent along with your transcripts. This would include:

     

    We cannot send the following types of attachments:

    • Transcripts from another school
    • SRJC does not send transcripts from other schools to four-year universities or other institutions.
    • Resumes
    • Cover letters
    • Letters of recommendation
    • Common App Midterm Report
    • Copies of your current schedule

  • Track Your Order

    Check the status of your transcript order online: Track My Order.

  • Replacement Transcripts

    Mailed Transcripts

    • Please allow up to 2-3 weeks for delivery by the US Postal Service.
    • Your transcript will be considered lost after 3 weeks from the date it was sent. We can send out a replacement copy at that time.
    • We are not able to offer tracking information for mailed transcripts.
    • If you accidentally provided an incorrect address on your initial order, we can send out a replacement copy to the same recipient only.
    • After 60 days from the day it was first sent, the order is considered expired and a new order will need to be placed.

     

    Electronic Transcripts

    • Your transcript should be available to your recipient within 24 hours from when it is sent.
    • If you accidentally provided an incorrect email address on your initial order, we can send out a replacement copy to the same recipient only.
    • The retrieval link expires after 30 days. A replacement transcript can be sent at that time, up to 60 days from the day it was first sent.
    • If your recipient needs a new access code sent, follow the directions here.
    • After 60 days, the order is considered expired and a new order will need to be placed.
    • Emails/Text messages will be sent to you confirming:
      • When your order has been sent
      • When your order has been retrieved
      • If your order has not been retrieved (sent on the 4th, 11th, 18th & 27th day after the link has been sent)
      • If the retrieval link has expired after 30 days

  • Unofficial Transcripts

    Available through Student Portal for free at any time.

    1. Sign in to the SRJC Portal.
    2. Click on My Records
    3.  
    4. Choose View Grades (Unofficial Transcript) under Transcripts and Verifications
    5. Once your Unofficial Transcript is viewable, you can print the transcript by right clicking on the page.

     

    Unofficial Transcripts are not available for records prior to Fall 1981. For records prior to Fall 1981, you will have to order an Official Transcript.
